Invoice numbering in South Africa: rules, formats and fixing mistakes

Zuvo Team1 November 20265 min read

Short answer: give every invoice a unique number from a single running sequence, such as INV-0001, INV-0002, and never reuse or delete one. A tax invoice must carry a serial number, and a clean sequence is also how you find a document in seconds and spot one that went missing.

Why invoice numbers matter

Formats that work

Pick one and keep it for good.
FormatExampleGood for
Prefix plus running numberINV-0001, INV-0002Most small businesses. Simple and hard to get wrong.
Year in the numberINV-2026-0001Businesses that like a fresh sequence each year. The year keeps the number unique.
Client code plus numberACME-007A few big repeat clients. Gets messy as the client list grows.
Branch or site prefixJHB-INV-0012More than one location, each with its own sequence.

Four digits (0001) keeps the numbers sorting correctly in a spreadsheet or folder. Do not start at 1000 to look established: it does not fool anyone and it is not required.

Quotes, invoices and credit notes

Give each document type its own prefix and its own sequence:

The numbers will not match, and that is fine. Link the documents by writing the quote number on the invoice ("Ref: quote QUO-0042"), and the invoice number on the credit note. Read how a quote, a proforma and an invoice differ before you decide what to number.

Cancelled invoices, gaps and mistakes

Let the next number assign itself

Zuvo numbers quotes, invoices and credit notes in separate sequences, so a number is never reused or skipped by accident.

Questions people ask

Do invoices have to be numbered in South Africa?

A tax invoice must carry a serial number, so a VAT-registered business must number its invoices. If you are not VAT-registered the law is less specific, but numbering is still the sensible habit: it lets you and your client find any invoice and spot one that is missing.

Do invoice numbers have to be in sequence?

The requirement on a tax invoice is a unique serial number. A running sequence that never repeats is the simplest way to guarantee that, and it is what an auditor expects to see. Do not reuse a number and do not leave unexplained gaps.

What do I do if I skip or cancel an invoice number?

Do not delete the document or hand the number to another job. Keep the cancelled invoice, mark it cancelled or issue a credit note against it, and note why. A short explanation in your records answers any later question about a gap.

Should quotes and invoices share a number sequence?

No. Give each document type its own prefix and sequence, for example QUO-0042 for a quote, INV-0042 for an invoice and CN-0003 for a credit note. The numbers will not match and that is fine. Link them by writing the quote number on the invoice.

Should I restart numbering every year?

You can, but then the number alone is no longer unique, so include the year: INV-2026-0001. A single sequence that simply keeps counting is the least error-prone choice for a small business.

General information, not tax or legal advice. Formats are practice, not legal requirements; the legal requirement is a unique serial number on a tax invoice.
