What a South African invoice should include
- Who it is from and who it is for: your business name and contact details, and the client's name and address.
- A unique invoice number and the date: in sequence, with no repeats or gaps.
- A due date and how to pay: a real date, plus your banking details.
- Itemised lines: a description, quantity and unit price for each item.
- VAT, if you are registered: the words "Tax Invoice", your VAT number and the VAT charged. If you are not registered, leave VAT off entirely.
The full rules, including the R50 and R5,000 tiers, are in our guide to VAT invoice requirements, and you can copy a plain-text layout from the free invoice template. Need a quote first? Use the free quote generator, or work out the VAT with the VAT calculator.
Questions
Is this invoice generator really free?
Yes. There is no signup and no limit. It runs in your browser, and nothing you type is sent to Zuvo to build the invoice.
Does my invoice have to say "Tax Invoice"?
Only if you are VAT-registered. A VAT-registered business issues a tax invoice that shows its VAT number and the VAT charged. If you are not registered for VAT, leave VAT off and the heading reads "Invoice". Charging VAT without being registered is not allowed.
What changes when an invoice is above R5,000?
For a VAT-registered supplier, SARS requires a full tax invoice above R5,000, which includes the client's name and address and, if the client is a VAT vendor, their VAT number. At R5,000 or less an abridged tax invoice is allowed, and under R50 no tax invoice is required.
How do I save the invoice as a PDF?
Choose Print or save as PDF, then pick Save as PDF as the printer in the dialog that opens. You get a PDF file to email to your client.
Is there a free invoice template for Excel or Word?
Yes. You can download a free Excel template that calculates the totals and VAT for you, and two Word templates, one for VAT-registered businesses and one for businesses that are not registered. None of them needs a signup.
