What invoicing software for South Africa has to do
A general invoicing tool built for another country will miss details that matter here. These are the ones to check.
| Need | Why it matters in South Africa |
|---|---|
| VAT tax invoices | VAT-registered businesses must show specific details, and the rules change at R50 and R5,000. See VAT invoice requirements. |
| Billing in rand | A tool priced in dollars adds exchange-rate swings and a forex fee to your card statement. |
| Ways for clients to pay | Many South African clients pay by EFT, some by card link. The invoice should show both clearly. |
| Part-payments and credit notes | Deposits and staged payments are normal for trades, and a correction needs a numbered credit note. |
| Late-payment follow-up | Chasing is where most small businesses lose time and cash. See how to follow up. |
| Records for your accountant | A VAT summary and an export of invoices and expenses saves a month-end scramble. |
How Zuvo does it
- Invoices from one sentence. Type or say the job and your prices. Zuvo drafts the lines with VAT, you check them, then email the PDF or share a link on WhatsApp.
- A page that shows how to pay. Your EFT details, a reference to use and your own card link, with an "I have paid" button that emails you.
- Deposits, part-payments and credit notes. Bill a percentage up front, record each payment, and issue numbered credit notes. The balance is right everywhere.
- Polite automatic reminders. Switch them on and Zuvo emails clients who run late until the invoice is paid.
- Recurring invoices for retainers and regular clients, made as drafts for you to check.
- VAT summary and expenses. See the VAT you charged, the VAT you paid on scanned receipts and what is left, and export it for your accountant.
- Your clients and prices saved. Import them from a spreadsheet, so quotes and invoices use your numbers.

Questions people ask
Is there free invoicing software for South Africa?
Yes. Zuvo has a free plan with up to 3 tracked quotes or invoices a month, and every plan includes branded PDFs, a how-to-pay page and part-payments. There are also free tools that make a single invoice, such as our invoice generator and the Excel and Word templates, but they do not track what has been paid.
Does Zuvo make a SARS-compliant tax invoice?
When you add your business details and VAT number, Zuvo's invoice PDF carries the particulars SARS lists for a tax invoice: your name, VAT number, the words Tax Invoice, a serial number and date, a description, quantities, the VAT charged and the total. You remain responsible for your invoices, so check yours against the SARS requirements or with your accountant.
Can I invoice in rand without paying a foreign-exchange fee?
Yes. Zuvo is priced and billed in rand, from R149 a month, so there is no dollar charge and no forex fee on the card statement.
Can my clients pay online?
Every invoice has a private page that shows your EFT details and a reference to use. If you have a card-payment link from a provider such as Yoco, PayFast or Paystack, it appears as a Pay online button. Zuvo does not hold or process the money, so it goes straight to you.
Can Zuvo chase late payers for me?
Yes, if you switch it on. Zuvo emails the client a polite reminder before and after the due date, on weekdays in office hours, until the invoice is paid. Replies come to you.
Does Zuvo replace my accounting software?
No. It covers quoting, invoicing, getting paid, a VAT summary and expenses, and exports your data for your accountant. It has no bank feeds, payroll, inventory or multiple users, so keep your accounting package if you need those.
