How to send an invoice on WhatsApp in South Africa

Zuvo Team1 November 20265 min read

Short answer: send the invoice as a PDF, say what it is for in one line, give the amount and due date, and put the payment reference in the message. Keep your own copy of everything you send. WhatsApp is how many South African clients prefer to be reached, which makes it a good way to get paid faster.

How to send an invoice on WhatsApp, step by step

  1. Make sure the invoice is complete. A VAT invoice needs the full set of details. Check against how to write an invoice.
  2. Export it as a PDF. Name the file clearly, for example INV-0042 Smith.pdf.
  3. Send it to the number the client gave you. Attach the PDF and write a short message.
  4. Put the payment details where they cannot be missed. The amount, the due date, your bank details and the reference.
  5. Save a copy. Store the PDF in your own records; do not rely on the chat history.

Three messages you can copy

1. New invoice

"Hi [name], thanks for having us do [job]. Invoice INV-0042 for R[amount] is attached, due [date]. EFT details are on the invoice, please use INV-0042 as your reference. Shout if anything is unclear."

2. Friendly reminder before the due date

"Hi [name], a quick reminder that invoice INV-0042 for R[amount] is due on [date]. The payment details are on the invoice. Thank you!"

3. Overdue

"Hi [name], invoice INV-0042 for R[amount] was due on [date] and I haven't seen the payment yet. Could you let me know when to expect it? I've attached the invoice again. Thank you."

There are longer versions, including a firmer second message, in our guide to following up on a late invoice.

POPIA basics for messaging clients

Keep the record yourself

A WhatsApp chat is not a filing system: it can be deleted, a phone can be lost, and a conversation is hard to search. Keep a copy of every invoice you issue for at least five years, with its number, and record when it was sent and when it was paid. A tool that logs each invoice and its payments does this for you.

Send from Zuvo in two taps

Zuvo writes the invoice from a plain description, numbers it, adds VAT, and opens WhatsApp with the message ready to send from your own number.

Questions people ask

Can I send an invoice on WhatsApp in South Africa?

Yes. Nothing stops you sending an invoice as a PDF or as a link on WhatsApp, and many South African clients prefer it to email. Keep your own copy of everything you issue, because the chat is not your record. For VAT invoices, the invoice itself must still carry everything a tax invoice needs.

Should I send a PDF or a link?

A PDF works offline and is easy to forward to an accountant. A link is easier to keep up to date and can show the client how to pay, but needs a data connection. A PDF with the payment details inside it, plus the reference to use, is the most robust.

Do I need the client's permission to message them?

Messaging a client about work they asked you to do, using the number they gave you, is normal. Sending them marketing messages is different and needs their consent under POPIA. Keep invoice messages to the invoice. Our POPIA basics guide has the detail.

Does Zuvo send WhatsApp messages automatically?

Not through the WhatsApp Business API. Zuvo drafts the message and opens WhatsApp with it ready, and you tap send from your own number. Automatic reminders go out by email on the trial, Growth and Business, if you switch them on.

Is sending by WhatsApp enough, or should I email too?

Many businesses send by WhatsApp for speed and email for the record, especially with companies whose accounts department wants invoices in a mailbox. Ask the client which they prefer.

General information, not legal advice. WhatsApp's own terms and your obligations under POPIA apply to how you message clients.
