Invoicing software for South African freelancers and consultants
Freelancers and consultants sell their time, so the money is only real once the client has paid. Zuvo helps you send a clear quote in rand, take a deposit, invoice when the work is done, show the client exactly how to pay, and follow up politely when they are late. Start free, with no card.

What freelancers and consultants need from invoicing software
| The problem | What helps |
|---|---|
| A client says yes, then goes quiet | A quote they can accept online with a typed name, so the agreement is on record. |
| You do the work and then wait to be paid | A deposit invoice when the quote is accepted, with the final invoice taking the deposit off. |
| The client does not know how to pay | An invoice page that shows your EFT details, the reference to use and your own card link if you have one. |
| Chasing feels awkward | Polite automatic reminders that stop when the invoice is marked paid. |
| A monthly client every month | A recurring invoice that Zuvo makes on the day. |
| Tax time is a scramble | Invoices, payments and scanned expense receipts in one place, exportable for your accountant. |
How Zuvo helps
- Quotes and invoices from one description. Type or say the job and your rates, for example "Brand refresh: 12 hours at R650 an hour plus R1,500 for stock images". Zuvo drafts the lines, you check them, then email the PDF or share a link on WhatsApp.
- Hours, fixed fees and expenses on separate lines. Show the rate and the hours, or a fixed project fee, with costs passed on to the client listed on their own lines.
- Deposits and part-payments. Bill a percentage up front, record each payment as it arrives, and issue a numbered credit note if you need to correct an invoice. The balance stays right everywhere.
- Your own payment details, front and centre. Zuvo never holds your money. It goes straight from the client to you by EFT, or through your own Paystack account if you set up card payments.
- Statements for clients with several invoices. Send a statement of account showing what is outstanding and how overdue each invoice is (Starter, Growth and Business, and in the trial).
- Receipts and a VAT summary. Photograph a receipt and Zuvo reads it, so your business expenses are recorded when you need them.

Do I charge VAT as a freelancer?
Only if you are registered for VAT. Registration is compulsory once your taxable turnover passes R2.3 million in a 12-month period, and voluntary from R120,000. If you are registered, your invoices must carry the VAT details SARS requires; if you are not, leave VAT off. Switch VAT on or off once in your Zuvo profile and every quote and invoice follows it. Questions people ask
What is the best invoicing software for a freelancer in South Africa?
It depends on volume. If you send a few invoices a month, a free plan or template can be enough. If you have several clients, retainers or late payers, software that tracks payments, shows clients how to pay and sends reminders saves real time. Zuvo is built for South African small businesses, billed in rand, with a free plan and a 7-day trial.
Do freelancers have to charge VAT in South Africa?
Only if registered. Registration is compulsory when taxable turnover passes R2.3 million in 12 months and voluntary from R120,000. If you are not registered, leave VAT off your invoices. Check your position with your accountant or SARS.
Can I ask a client for a deposit?
Yes. Once a client accepts a quote, Zuvo can raise a deposit invoice for the percentage you choose, and the final invoice bills the whole job and takes the deposit off, so nothing is billed twice.
How do I invoice a client I work for every month?
Set up a recurring invoice. Zuvo makes it on the day each month and leaves it as a draft for you to check, or sends it for you if you prefer. Recurring invoices are part of Starter, Growth, Business and the 7-day trial.
Does Zuvo hold my money?
No. Clients pay you directly, by EFT or through your own card-payment link. Zuvo shows them how and tells you when they say they have paid.
Is there a free plan for freelancers?
Yes. After the 7-day trial you keep a free plan with up to 10 tracked quotes or invoices a month. Automatic reminders, recurring invoices and statements are part of Starter, Growth and the trial.
