Best invoicing software in South Africa (2026): 9 tools compared

Zuvo Team1 November 20268 min read

There is no single best invoicing software for every South African business. The best one depends on how many invoices you send, whether you need accounting, and how much of the chasing you want done for you. Below are nine tools, what each is good at, what it costs and who it suits. We make Zuvo, so it is on the list, and we say where the others are better.

Short answer: for the biggest free allowance, Zoho Invoice. For the cheapest unlimited plan, Rebill, I Need Invoice or RapidFlow at about R99 a month. For full accounting, Xero or QuickBooks. For an AI that writes the documents, chases late payers and shows you how the business is doing, Zuvo.

How to choose

  1. Count your invoices. Fewer than about ten a month: a free plan can be enough. More than that, or a client who needs the same invoice every month: look at an unlimited plan or one with recurring invoices.
  2. Decide whether you need accounting. If you reconcile a bank account, run payroll or file your own VAT, you want accounting software. If you quote, invoice and hand clean figures to an accountant, a lighter tool is cheaper and simpler. See Zuvo vs Xero.
  3. Think about getting paid. Check whether clients can pay by card from the invoice, whether the money goes straight to your account, and whether the tool sends polite reminders for you.
  4. Check VAT. If you are VAT-registered, the invoice must carry specific details. See VAT invoice requirements. If you are not, leave VAT off.
  5. Try it on a real job. Almost every tool above has a free plan or trial. Send one real quote and one real invoice on two of them and keep the one you actually use. Zuvo has a 7-day trial with no card, then a free plan.

Questions people ask

What is the best invoicing software for a small business in South Africa?

It depends on what you need. Zoho Invoice has the biggest free plan, Rebill, I Need Invoice and RapidFlow list unlimited plans at about R99 a month, Xero and QuickBooks are full accounting tools, and Zuvo writes the documents with AI and chases late payers. Try your own job on two of them before you decide.

Is there free invoicing software in South Africa?

Yes. Zoho Invoice is free for South African businesses, with up to two users and 500 invoices a year. Rebill, RapidFlow and Zuvo have free plans of about 10 documents a month, and I Need Invoice, Faktuur and TradiQuote have smaller ones.

Do I need accounting software or just invoicing software?

If you reconcile bank statements, run payroll or prepare your own VAT, you need accounting software such as Xero or QuickBooks. If you only quote, invoice, record payments and send records to an accountant, invoicing software is simpler and cheaper.

Which invoicing software lets clients pay by card?

Several do. Rebill connects to Paystack, Yoco, PayFast and iKhokha. I Need Invoice lists Paystack payment links. Zuvo offers card payments through your own Paystack account on Growth and Business. In every case the card provider charges its own fees.

Which invoicing software sends payment reminders?

Rebill, Zoho Invoice and Zuvo list automatic reminders. In Zuvo they start on the Starter plan, run on weekdays in office hours and stop when the invoice is marked paid.
